For most sales teams, the best choice is not the tool with the loudest real-time notification. It is the smallest tool that labels uncertainty, respects privacy policy, associates events correctly, and helps a seller take a justified next action.

HubSpot’s current official add-in documentation distinguishes tracking from logging: tracking surfaces open activity and seat-dependent click tracking, while logging stores a copy against CRM records. Define what every tracked event means
Create an event dictionary before testing. Sent means the sending system accepted a message. Delivered means a receiving system accepted it—not inbox placement. Open usually means a unique remote image URL was requested. Click means a tracked redirect was requested. Reply means an inbound message was matched. Positive reply requires classification. Meeting, qualified opportunity, and revenue require governed business rules.
Microsoft’s receipt documentation makes a useful distinction: delivery confirms arrival at a mailbox, not that a person saw it; recipients may decline read receipts and some clients do not support them. A standards-style read receipt and a tracking pixel are also different mechanisms.

Also test the tracking already included in Outreach, Salesloft, Apollo, Gmail/Outlook extensions, or your CRM. The category boundary is tracking and actionability. Treat privacy proxies and scanners as false-positive risks
Apple says Protect Mail Activity can privately download remote content in the background when a message is received rather than when it is viewed. Therefore an image request may occur without a human read. Google says Gmail displays external images automatically by default, scans them, and limits sender access to computer or location information. Security gateways can also inspect links before delivery.
False positives include privacy proxy fetches, malware scanners, preview generation, bot clicks, repeated cache behavior, sender self-opens, internal compliance archives, and forwarding. False negatives include blocked images, plain-text clients, cached resources, offline reading, disabled tracking, direct-link copying, and unmatched replies. A forward may attribute a click to the original recipient even when another person clicked.
Ask each vendor whether it preserves raw events, labels known proxies and scanners, suppresses sender/internal opens, distinguishes unique from total events, handles group mail and BCC, detects forwards only as inference, exposes confidence, permits correction, and exports the logic. Never trigger aggressive follow-up solely from an open. Privacy, legal, security, and deliverability owners should approve purpose, lawful basis or consent, notice, domain suppression, retention, access, deletion, and incident response.
Test CRM synchronization and identity
Build seeded contacts across Gmail, Apple Mail with protection on and off where permitted, Outlook, a corporate security gateway, images blocked, plain text, mobile, forwarding, shared inbox, and multiple recipients. Send unique messages and perform a known script: no view, proxy-only receipt, human view, repeated view, scanner-only click, human click, forward then click, positive reply, negative reply, out-of-office, bounce, and unsubscribe.
Verify that each raw event maps to the intended message, contact, company, deal, campaign or sequence, and seller. Test two contacts sharing an address, contact merge, changed email, alias, duplicate CRM record, deleted contact, missing association, reassigned owner, and reply from a different address. Induce expired authorization, revoked mailbox, API rate limit, delayed webhook, duplicate delivery, retry, partial batch, and deprovisioned seller. Build expected, growth, and downside cases over three years. Downside includes false-signal follow-ups, CRM cleanup, extension incompatibility, account reconnection, and an extra suite that never replaces the old one.
Reprice from dated quotes. Mailsuite and Mixmax publish figures, while HubSpot capabilities depend on product and seat. Taxes, annual commitments, promotions, team plans, data terms, and packaging can change.
Choose a tool—or turn tracking off
Choose HubSpot when native CRM evidence and governance are the decisive jobs. Choose Mailsuite when a lightweight personal-inbox tracker clears team and privacy requirements. Choose Mixmax when its wider inbox workflow replaces enough tools to justify scope. Keep the existing engagement platform when it passes tests and another collector would duplicate events.
Turn tracking off for workflows where privacy, deliverability, recipient trust, or event ambiguity outweighs its value.
