A sales tool is redundant when another supported tool can own the same required jobs, populations, authority, controls, integrations, and evidence—and the old tool can be removed without creating manual gaps. Sharing an AI writer or dashboard feature is not enough.
This calculator produces a review score, not a market benchmark. Choose weights locally, preserve the underlying rows, and let hard gates override the percentage.
What redundancy means
Redundancy is operational substitutability. Two products may overlap yet both remain necessary because one owns contact data and the other owns sequencing. Conversely, a tool with unique features may still be removable when none supports a required job.
Classify each relationship: duplicate, partial overlap, complement, dependency, migration bridge, or unrelated. Score only duplicate and partial-overlap pairs.
Build the job inventory
Inventory jobs at action level. “Prospecting” is too broad. Split it into account discovery, contact acquisition, enrichment, signal monitoring, prioritization, research, draft, enrollment, send, reply routing, call prep, call capture, coaching, notes, CRM write, forecast, analytics, and export.

Score coverage and authority
Give each required job a weight totaling 100. For each tool, score 0 = absent; 0.5 = partial or unproven; 1 = passes required scope. Add separate pass/fail columns for authority, control, integration, reliability, and export.
Documentation can earn at most 0.5 until the job is reproduced in a tenant or pilot. A roadmap item earns 0. A contract may guarantee access or service terms, but it does not prove output quality.
Calculate redundancy by tool pair
Pairwise overlap coverage = sum(weights for jobs both tools pass) ÷ sum(weights for all required jobs).
Then calculate each tool’s unique required coverage: weights the tool passes while the other does not. A high pairwise score plus zero unique required coverage creates a removal candidate. It does not create an automatic removal decision.
Add cost separately: avoidable annual cost = recurring tool cost + tool-specific admin/integration cost − migration and replacement cost attributable to removal. Do not mix cost into coverage; it can hide a critical missing job.
Apply replacement gates
Apply hard gates before recommending removal. Required jobs must pass under real volume. Data rights, history, configuration, and exports must be preserved. Suppression, customer exclusions, identity, permissions, and audit must work. Failures must reconcile and rollback.
The OWASP API Security Top 10 calls out object/property/function authorization, API inventory, and unsafe third-party API consumption. When one tool absorbs another’s integrations, retest those boundaries; do not assume the replacement inherits safe access.
Work a sample comparison
Hypothetical example: a team weights contact data 25, signals 15, reviewed drafting 15, call prep 15, notes/CRM 20, and forecast 10. Tool A passes contact data, signals, and drafting: 55. Tool B passes signals, drafting, prep, and notes/CRM: 65. Both pass signals and drafting, so overlap coverage is 30/100 = 30%. Tool A uniquely covers 25; Tool B uniquely covers 35. Neither is redundant despite feature overlap.
If Tool C passes every Tool B job under the same scope and controls, while Tool B has zero unique required coverage, Tool B becomes a removal candidate. The team still must test migration, history, reliability, adoption, and exit.
Record the keep or remove decision
Record keep, remove, consolidate, or defer with reasons. Save job weights, raw scores, evidence grade, failed gates, unique coverage, avoidable cost, dependencies, migration plan, rollback, contract dates, data export, owners, and retest date.
