Switch from Avoma only after inventorying the meeting jobs that would disappear with it. Recording, transcripts, notes, tasks, playlists, scheduling, coaching, conversation insights, revenue insights, search, and CRM sync are different jobs. A lighter rep assistant can replace some of them without replacing all of them.

Start with the meeting jobs
Define the destination for the meeting, the artifact, the decision, and the CRM record separately. “We need meeting notes” is incomplete until the team defines capture, permission, transcript, summary, task, coaching, retrieval, retention, and write ownership.
Create a 30-day usage inventory. Record which teams open recordings, search transcripts, use scorecards, review playlists, inspect revenue views, schedule meetings, approve tasks, or rely on CRM sync. A feature that exists but is unused may be retired. A feature that supports an audit, coaching program, or forecast cannot disappear because a smaller replacement looks convenient.

What Avoma currently documents
Avoma documents meeting, conversation, and revenue-intelligence workflows. Its current help guide lists recorded meetings, transcripts, AI notes, tasks, playlists, scheduler, coaching, conversation insights, revenue insights, and AI-powered search. It says availability varies by role, subscription, enabled products, and integrations.
Avoma also documents organization-wide CRM connections that require administrators. Its field-mapping guide describes object and field mapping, sync direction, permissions, Smart Topics, and one connected CRM at a time. “Connected” therefore does not mean every field should flow in both directions.
Where Gangly is and is not a substitute
Gangly can be evaluated for a narrower before/during/after rep workflow. Repository facts describe preparation from connected CRM and permitted context, live guidance on Zoom or Google Meet, post-call summary and task drafts, and reviewed CRM follow-through.

If the organization needs searchable call history, manager analytics, scorecards, scheduling, or revenue views, Gangly is not a like-for-like substitute. It may coexist, or another system must pass those jobs.
Run a shadow meeting test
Evaluate both systems on the same golden meetings. Include external discovery, internal meeting, recurring event, no-show, multi-account attendee list, anonymous attendee, private call, poor audio, two speakers with similar names, missing transcript, revised next step, deleted CRM record, and revoked access.
Adjudicate meeting identity, participant association, transcript completeness, factual summary, decision capture, action ownership, due dates, CRM association, field fidelity, privacy behavior, rep corrections, retrieval, latency, and recovery. Report counts and denominators; do not hide hard failures inside an average score.
Plan the switch boundary
Preserve artifacts and relationships before changing capture authority. Inventory meetings, recordings, transcripts, notes, speakers, tasks, scorecards, playlists, trackers, prompts, forecasts, CRM associations, permissions, retention, integrations, and users. Confirm which are exportable, reconstructable, retained elsewhere, or unavailable.
The Avoma migration checklist owns snapshots, media checksums, relationship reconciliation, rollback, revocation, and deletion evidence. Use a delta capture for meetings that occur during the transition and never let both systems write the same CRM field without precedence.
Make the decision
Keep Avoma when its meeting corpus, coaching, scheduler, conversation analytics, revenue insights, or CRM behavior are required and proven. Layer Gangly when the measurable gap is rep preparation or reviewed follow-through and duplicate capture/write authority can be prevented. Switch only when every required meeting job and historical artifact has an accepted destination.
Normalize subscription, seats, meeting volume, storage, integrations, implementation, administration, review, correction, enablement, overlap, export, retention, and exit. A lower license price is not a saving if coaching evidence or CRM continuity must be rebuilt manually.
