Call recording software is not one category. A recorder captures media; a notetaker creates a transcript or summary; conversation intelligence analyzes patterns across conversations; and a dialer transports phone calls and may record them. Buying these as one job obscures the hardest questions: whether the call should be captured, who can access it, how accurately speakers and facts are represented, where the artifact is attached, and whether it can be exported or deleted.

Separate recorder, notetaker, CI, and dialer jobs
Direct answer. Choose a recorder when an authorized audio/video artifact is the required output; a notetaker when a reviewed transcript or summary is the output; conversation intelligence when managers need evidence and patterns across calls; and a dialer when telephony, routing, numbers, and call disposition are primary. One platform may span jobs, but each job needs its own test.

Write the actual requirement: “Capture authorized customer discovery meetings in English and Spanish, restrict playback to the opportunity team, draft reviewed notes to a sandbox CRM, and delete routine media after the approved period.” That can be tested. “Record every call and coach reps with AI” cannot.
Compare documented approaches, not universal winners
Start with the system already carrying the conversation. Native capture can be the lowest-complexity option when recording and playback are enough. Add a specialist only for a proven gap.

Google’s recording guide documents eligible editions, recording permission, participant notices, storage in the organizer’s Drive, Calendar linkage, and optional admin-configured explicit consent. Zoom’s consent guide documents participant choices when recording begins. Microsoft’s Teams recording documentation describes recording media, OneDrive/SharePoint storage, permissions, participant-agreement policy, and retention interactions.
Those are capability facts, not legal conclusions or proof of reliability. “Notified” and “consented in the interface” are distinct from a complete lawful-basis, employment, contractual, or jurisdiction analysis. Similarly, a vendor security page is an input to diligence, not proof that your configuration is safe.
Pass consent, notice, and privacy gates
Recording captures customer speech, employee behavior, identities, screen content, and potentially sensitive personal, commercial, health, payment, or authentication information. Requirements vary by jurisdiction, call type, participant location, purpose, channel, and employment setting. Counsel should approve the actual policy. This guide is operational guidance, not legal advice.
- Purpose and necessity: document why recording is needed, which calls qualify, whether transcript-only or no capture is less intrusive, and prohibited meeting types.
- Jurisdiction: determine participant locations and applicable rules before capture. A calendar domain or phone number is not reliable location evidence.
- Notice and choice: define invite notice, in-meeting announcement, consent where required, late joiners, dial-in participants, interpreters, guests, and a meaningful no-recording alternative.
- Worker monitoring: involve privacy, HR, security, legal, and worker representatives where applicable. Separate coaching from disciplinary or consequential decisions.
- Data minimization: exclude internal HR, legal, medical, payment, credential, privileged, support-escalation, or other sensitive meetings unless specifically approved.
- Objections and withdrawal: give participants a usable route to stop recording, request correction, restrict sharing, or invoke applicable rights.
The ICO’s worker-monitoring guidance emphasizes lawfulness, fairness, transparency, purpose, proportionality, lawful basis, and less intrusive alternatives. That source is UK-specific, but the operational questions are useful everywhere. Maintain a jurisdiction matrix owned by counsel rather than embedding a simplistic “one-party versus two-party” toggle in sales operations.
Prove retention, access, export, and deletion
Map every artifact: audio, video, screen share, chat, captions, transcript, speaker labels, summary, tasks, clips, AI prompts and outputs, embeddings, analytics, CRM fields, calendar metadata, exports, backups, audit logs, and support copies. For each, record controller/processor roles, storage region, encryption, subprocessors, model-training treatment, permitted purpose, access roles, retention trigger, deletion mechanism, legal hold, and exit behavior.
Test permissions as a matrix: rep, manager, account owner, opportunity team, enablement, executive, CRM admin, meeting admin, vendor support, former employee, customer guest, and unauthorized outsider. Search, clips, shared links, email notifications, Calendar attachments, mobile clients, exports, and APIs can reveal more than the main playback page.
Do not equate expiration with deletion. Microsoft documents that Purview retention may preserve a recording after it disappears from the user’s normal view. Google documents that Meet recordings can live in the organizer’s Drive and connect to the Calendar event. A third-party notetaker may retain separate derivatives after the native file is removed. Require evidence for single-item deletion, bulk deletion, account closure, participant request, correction, legal hold, retention expiry, backup expiry, derived-output deletion, and CRM-linked artifact removal. Hard-stop for cross-account exposure, undeclared model training, inability to stop prohibited capture, or materially incomplete deletion.
Test audio, language, speaker, and transcript quality
Build an authorized labeled set from synthetic meetings and recordings for which every speaker has agreed to evaluation use. Represent browser, mobile, room, dial-in, headset, speakerphone, poor bandwidth, background noise, crosstalk, interruptions, silence, screen sharing, and reconnects. Include each supported language, accent, dialect, and code-switching pattern relevant to the team.
Write reference labels for speaker turns, names, companies, products, amounts, currencies, dates, negation, commitments, objections, decisions, owners, and next steps. Two trained reviewers should label critical facts independently and reconcile differences before comparing systems. Do not call a vendor “accurate” against an unlabeled sample.

Report results by language, device, channel, audio condition, meeting type, and speaker group. Averages can hide failure for an important subgroup. Preserve “not captured,” “not transcribed,” “uncertain,” and “not applicable” rather than forcing confident text.
Inject calendar and CRM association failures
Calendar and CRM association often fail quietly. Use a sandbox to inject recurring meetings, reschedules, forwarded invites, alias email addresses, external organizers, multiple opportunities at one account, duplicate contacts, missing attendees, late joiners, merged accounts, reassigned owners, deleted events, concurrent calls, and a recording that completes after a retry.
- Define the stable meeting, account, contact, and opportunity identifiers and the matching precedence.
- Replay the same webhook and deliver events out of order. Writes must be idempotent.
- Force an API timeout after a successful write. The retry must not create a second note, task, or activity.
- Map a meeting to two plausible opportunities. The tool should quarantine or request review, not guess.
- Revoke calendar and CRM access mid-meeting. Capture and later writes must fail visibly and recover predictably.
- Edit a rep-reviewed note after sync, then test which system owns the correction and how conflicts surface.
- Reconcile
eligible meetings = captured + approved exclusions + failed/quarantinedandapproved CRM writes = created + matched + rejected + pending.
The CRM should own account, contact, owner, opportunity, stage, next step, consent, and suppression unless the field contract explicitly says otherwise. Apply hard gates before the scorecard
Consent/notice policy, lawful use, prohibited-meeting controls, least privilege, lifecycle, export, deletion, CRM rollback, and critical-fact review are hard gates. Do not let a high feature score offset a failure. Score survivors from 0 (absent) to 4 (proven in the measured pilot).

Calculate weighted score = Σ(weight × score ÷ 4). Keep raw evidence and evaluator disagreement next to each score. Documentation alone earns at most 1; a configured demonstration earns 2; seeded-test proof earns 3; repeated pilot proof earns 4.
Run a matched pilot
Run candidates against the same authorized meeting set, users, channels, languages, CRM sandbox, policies, rubric, and review window. A four-to-six-week measured phase can reveal repeated workflow behavior, but it is not a universal duration and may not establish downstream revenue impact. Keep native recording/manual notes as the baseline.
Measure eligible capture coverage, prohibited-capture incidents, notice/consent-path completion, transcript defects, speaker errors, unsupported facts, association defects, CRM write reconciliation, human correction time, summary approval, retrieval, coaching actions completed, deletion completion, exception backlog, and support interventions. Report denominators and exclusions. Do not make consequential employment decisions from unreviewed transcript or AI scores.
Hard-stop on recording where policy says not to, a meaningful consent/notice failure, material cross-account access, credentials in captured content without remediation, fabricated critical facts written to CRM, repeated wrong-opportunity association, or deletion that cannot be verified. Normalize price and total cost
Public prices are snapshots. Products may charge by recorded user, host, active seat, attendee, recording hour, transcription minute, storage, language, AI action, workspace, telephony minute, number, integration, API volume, or service tier. Some enterprise products are quote-only or bundled. Capture currency, market, billing frequency, taxes, minimums, term, overages, renewal, and date; verify them with the vendor.
Annual TCO = subscription and usage + meeting/dialer plan + storage + transcription/AI + CRM/integration tier + implementation + security/privacy/legal + data migration + administration + QA and human review + coaching operations + support + overages + overlap + expected exit cost.
Normalize the same users, eligible calls, hours, languages, storage, retention, exports, environments, support, and contract term. Include managers’ review time and the cost of correcting summaries, association failures, permissions, and deletion exceptions. A cheap recorder can be expensive if people cannot find, trust, govern, or remove its output.
Place Gangly at the right boundary
First-party disclosure. Gangly supports Zoom and Google Meet for live call guidance and post-call note drafts. Live guidance surfaces approved context while the rep controls the conversation. Post-call notes are drafts that the rep reviews before CRM sync. Gangly does not support phone calls, act as a dialer, provide a universal recording-consent determination, or replace legal, privacy, security, HR, and CRM governance.

Choose the smallest system that meets the approved purpose and can prove what it records, who sees it, how it is used, and when it is truly gone.
