A Regie migration starts by controlling autonomy, not downloading contacts. Agents and scheduled workflows may still research, enroll, draft, send, dial, create tasks, process replies, book meetings, or update CRM records while an export is changing underneath them.
This guide uses public official documentation reviewed August 8, 2026. Gangly did not operate a Regie tenant or receive a private export. Public pages did not establish a universal bulk export for agent state, prompts, decision traces, approval history, credits, or every relationship. That is an evidence gap, not proof that contractual or support-assisted paths do not exist.
Define the Regie exit boundary
This page owns incumbent exit. Use Gangly versus Regie.ai for product choice, the AI email-writer guide for drafting modes, and the AI SDR guide for category selection. Freeze tenant, contract, DPA, plan, users, agents, connected CRM, mailboxes, domains, dialer, calendars, cutoff, archive, target, holds, rollback, cancellation, retention, and deletion dates.
Name owners for RevOps, CRM, email, voice, security, privacy, legal, finance, vendor support, validation, target, and rollback. Hard gates: no unapproved action, duplicate contact, lost suppression, wrong CRM association, invisible failure, excessive privilege, or untested rollback. A high average reconciliation rate cannot excuse a missing unsubscribe or active agent.
Inventory agents, audiences, channels, and governance
Inventory workspaces, users, teams, roles, agents, versions, personas, ICPs, accounts, contacts, research, enrichment, source URLs, confidence, prompts, approved propositions, campaigns, sequences, steps, branches, templates, message variants, schedules, throttles, approval points, mailboxes, domains, DNS, sender identities, dialer settings, numbers, calls, recordings, transcripts, tasks, replies, bounces, meetings, outcomes, calendars, credits, usage, errors, logs, AI decisions, human approvals, overrides, suppression, consent, permissions, retention, deletion, credentials, webhooks, and API clients.
Add CRM objects, stable IDs, owners, fields, mappings, activities, directions, and authority. Each row needs artifact type, source ID, parent/related IDs, owner, version, timestamp, count, sensitivity, portability label, route, destination, retention/hold, validation test, and evidence link. Coordinate mailbox/domain state with the cold-email migration checklist.
Label portability without inventing agent export
Use documented exportable, buyer verified, support/contract dependent, reconstruct, or unavailable. Save official URL/ticket, plan, permission, requester, format, schema, edge/history coverage, test date, errors, and exclusions. A UI screen or data-ownership term does not prove a bulk endpoint, stable schema, full history, or repeatable final delta.
Regie’s product page documents unified human and AI prospecting, while its integrations page documents connected categories. Its email page names CRM insights, news, intent, persona prompts, and approved value propositions as inputs. These establish workflow breadth, not complete export. Default internal agent state, decision traces, provenance, approval/version history, retry queues, credits, model metadata, and complete audit history to support/contract dependent until reproduced.
Map stable IDs, edges, and authority
A contacts CSV loses the system. Build edge tables for agent→persona→ICP; account→contact→research source; campaign→sequence→step→message; contact→enrollment; mailbox/domain→sender; call/message→reply→meeting→outcome; task→owner; artifact→CRM object/field; AI decision→input evidence→prompt/rule version→human approval; and user/team→permission.
Preserve Regie IDs where available alongside CRM and provider IDs. For every field/action, record who may read, propose, approve, create, update, suppress, delete, and replay it. Follow CRM integration controls. Keep suppression and consent authoritative; record presence never implies permission to contact.
Stop autonomous actions before the final delta
- Freeze prompts, agents, playbooks, lists, mappings, schedules, permissions, mailboxes, domains, dialer, and integrations.
- Record active enrollments, queued messages/calls/tasks, open replies, meetings, approvals, retries, failures, and CRM-write queues.
- Pause discovery and enrollment; then stop outbound email, calls, social tasks, meeting creation, and mutating CRM writes in a vendor-confirmed order.
- Drain or explicitly cancel every queued action. Preserve its disposition so rollback cannot replay it silently.
- Keep unsubscribe, reply, bounce, complaint, do-not-call, consent withdrawal, and inbound capture working until the final delta closes.
Record UTC stop times, approvers, queue counts, and negative tests proving agents cannot act. Regie’s changelog documents review/audit controls and CRM-state fixes; verify current entitlement and use observed tenant evidence, not the changelog alone.
Preserve immutable snapshots and manifests
Take a pre-stop snapshot, preserve the stop log, then extract a final delta for late replies, bounces, unsubscribes, outcomes, meetings, approvals, failures, retries, and CRM updates. Keep source access until export is repeatable, acceptance is signed, and rollback expires.
For every file/API batch record tenant, request, filter, time range, schema, filename, rows, bytes, pages, media duration, errors, exclusions, timestamp, requester, and SHA-256. A checksum proves file identity, not completeness. Preserve raw JSON/CSV/messages/media unchanged; transform versioned copies. Keep mappings, code, logs, rejects, manual edits, tickets, screenshots, approvals, and manifests. Reference secrets and rotation records; never place credentials inside evidence files.
Reconcile counts, fields, messages, media, edges, and history
Calculate accepted/eligible ratios separately for objects, required fields, complete message/thread metadata, playable call media, correct relationships, evidenced AI decisions/approvals, and required history. Define denominators and exclusions before export. Full-reconcile suppression, consent withdrawal, complaints, active enrollments, scheduled actions, sender identities, permissions, approvals, CRM mappings, and destructive actions.
Stratify by agent, persona, channel, time, outcome, owner, region, language, error, and age. Test duplicate/replay, late/out-of-order reply, merged CRM contact, owner change, revoked token, deprovisioned user, rate limit, provider rejection, corrupt media, missing source, prompt injection, and suppression during cutover. Require visible quarantine, bounded retry, manual resolution, and rerunnable reconciliation. A message on the wrong contact fails even if both records exist.
Stage the target with one authority
Build target roles, personas, ICPs, playbooks, templates, schedules, CRM maps, mailboxes, domains, dialer, suppression, consent, and monitoring with external actions disabled. Load a consented golden set covering create/update/merge/delete, reply, bounce, unsubscribe, call outcome, meeting, approval, owner change, retry, prohibited action, and rollback.
Shadow where possible: the target may calculate or draft, but only one production authority may send, call, schedule, create tasks, or mutate CRM. Compare decisions, evidence, proposed content, suppression, routing, associations, errors, operator effort, and cost. NIST’s AI RMF supplies general governance concepts, not a Regie export procedure.
Cut over, roll back, and decommission
Canary a low-risk consented segment only after the final delta, critical reconciliation, golden tests, monitoring, on-call ownership, and rollback pass. The runbook names source stop, target activation, authority transfer, mailbox/domain/dialer/CRM changes, validation queries, abort owner, and deadline. Rollback disables target actions first, preserves target-only events, reverses approved writes, restores accepted source configuration, imports new suppression/replies, and blocks queue replay.
After acceptance and hold review, disconnect mailboxes, domains, calendars, phone and CRM; revoke OAuth, API keys, webhooks, service users, SSO, support and vendor accounts; rotate shared credentials; and test access fails. Request deletion scope for customer data, contacts, messages, calls/media, research, prompts, outputs, logs, exports, support artifacts, subprocessors, backups, exceptions, and completion date. FTC guidance supports inventory, limited access/retention, secure handling, and disposal. Cancellation is not deletion.
Apply the worked example and calculate TCO
Fictional arithmetic, not a Regie result: 9,800 of 10,000 eligible contacts accepted = 98%; 7,840 of 8,000 messages with correct thread metadata = 98%; 1,920 of 2,000 critical edges = 96%; 1,000 of 1,000 suppression records = 100%; 90 of 100 sampled decisions retaining source and approval evidence = 90%. Do not average them: suppression passes its hard gate while edge and decision exceptions remain open.
TCO = source overlap/exit support + target licenses/setup + export/API/support + data and channel infrastructure + reconstruction + engineering + CRM administration + security/privacy/legal + validation + monitoring + rollback + archive + revocation/deletion. Use dated quotes and measured labor; include a contract-extension scenario.
